SCHEDULE: Full time; some evenings/weekends required

SALARY RANGE: $65,000-$75,000

The total compensation includes a generous benefits package with on-campus housing estimated at $40,000 a year, medical, dental, 401(k), life insurance, and paid time off (PTO).


Under the direction of the Deputy Director for Operations, the Director of Facilities provides direct oversight and administration of the day-to-day facility operations of the Headlands campus, stewarding a total of seven buildings. This person is also responsible for the long-term strategy of campus facilities resources. The Director of Facilities leads the planning, organizing, developing, and directing of the overall operation of the physical campus in accordance with Headlands’ policies and procedures as well as current National Park Service, federal, state, and local standards, guidelines, and regulations governing our facility to assure that our facility is maintained in a safe and comfortable manner. The Director of Facilities is responsible for the management and direction of the following functions: maintenance, custodial services, public and programmatic event support, risk management, and enforcement of departmental operating guidelines and procedures.

The Director of Facilities manages and plans for the care of the artist studios, artist and staff residences, the wood shop, and library, as well as a dynamic group of artist-rehabilitated public spaces including spaces for exhibitions, lectures, performances, gatherings, and communal dining. The Director of Facilities directly supervises the facilities and kitchen staff members and collaborates with the Deputy Director for Operations and Executive Director to liaise with our partners in the National Park Service (NPS).

Facilities Use and Maintenance

Assure the maintenance of the physical condition and cleanliness of facilities under Headlands’ jurisdiction to support the day-to-day management of Headlands’ programs and activities.

Implement facility security programs by developing procedures/practices, distributing keys, monitoring access points, assessing security infrastructure needs (security cameras, interlocks, and alarms), and assessing/changing door access schedules.

Implement approved procedures for the security of Headlands’ buildings and equipment used by staff and artists.

Schedule weekly building and building systems maintenance, trash removal, and technical program support.

Establish onboarding and exit policies and procedures for all artists that work at Headlands.

Work in consultation with Program staff to ensure smooth scheduling and handling of artists’ studios and accommodations and support for public programs.

In collaboration with the Programming Department and the Senior Operations Manager, manage event setup/takedown and provide support during programmatic and outside events.

Provide access for facilities users, by appointment, at times when other staff members are not available.

Act as one of the organization’s Safety Officers to oversee and keep current the organization’s emergency and non-emergency programs and ensure compliance with applicable state and federal regulations.

Work in coordination with the Operations team to support and manage the technology infrastructure.

Manage and ensure the smooth operation of all campus utilities.

Campus Improvement and Maintenance

Research and manage costs, specifications, and resources for carrying out maintenance, renovation, and new construction projects.

Manage the preventative, routine, and deferred maintenance on the facility including outside contractors.

Coordinate the purchasing, inventory, and maintenance of the office and residential equipment and appliances.

Create and monitor the status of work orders to ensure all repairs are done in a timely manner.

Serve as joint staff liaison to the Board’s Site Committee, along with the Deputy Director for Operations.

Assist and when appropriate take the lead on the development of short-term and long-range plans for capital improvements to and maintenance of facilities.

Provide recommendations for maintenance and construction resource allocation as requested.

Assist with the development of budgets and timetables for facility improvements as requested.

Upon Building Project approval, support the physical upgrade and renovation of Headlands’ buildings.

Collaborate with Headlands’ architect, Golden Gate National Recreation Area (GGNRA) Business Division, and other master facilities planning consultants to develop and revise design for Campus Improvement Project.

Implement contractor bidding, including the development of specifications for labor contracts in compliance with NPS Agreement as requested.

Secure necessary permits.

Coordinate and supervise work carried out by outside contractors, temporary workers, and volunteers as requested.

Carry out minor upgrades and repairs following approval of specifications by Executive Director.

Work closely with specified project managers to assure the accomplishment of Project goals.

Arrange for inspections by National Park Service and independent inspectors where specified in NPS agreement.

National Park Service (NPS)

Take the lead to manage all NPS facilities, grounds, and building-related reports, work plans, project permits, and approval processes, collaborating with the Deputy Director for Operations as needed.

Serve as primary contact for Business Management Analyst to manage daily NPS needs.

Serve as an additional point of contact for NPS Law Enforcement along with Executive Director and Deputy Director for Operations.

Collaborate with Deputy Director for Operations and Executive Director to manage NPS relationships and negotiate a long-term NPS Agreement.


Prepare and monitor the annual Facilities budget.

Provide fiscal management for facility operations to ensure the proper utilization of financial resources.

Supervise the Facilities staff, which includes hiring, training, performance evaluations, developing goals, and developing procedures to ensure achievement of goals.

Assures that all staff attends required safety training in hazardous materials communication and safety as established by OSHA guidelines.

Utilize organizational systems including hard and digital files, database, shared calendars, and so on to ensure cross-departmental communication and efficiency.

Contribute and support the safety policies, practices, procedures, and requirements of Headlands, the Facilities Department, Emergency Action Plan, and the Illness & Injury Prevention Plan.

Leadership Team

Serve as both a department head and a member of the leadership team that sets the tone and culture of the organization.

Represent and advocate for the overall wellness of the institution; model behavior and organizational core competencies to all staff.

Liaise with key Board members and volunteers.

Represent the organization internally and externally.


5+ years of related experience in facilities management.

Knowledge of and comfort with codes, regulations, and standards that inform facilities work and risk management practice is a plus.

Able to work independently and effectively collaborate as a key member of the leadership team.

Able to analyze and track construction budgets.

Able to analyze and track resources as it relates to complex space and equipment needs.

Demonstrated interpersonal skills, mature judgment when interacting with a broad range of people, including faculty/vendors/stakeholders/program areas, both individually and in groups.

Demonstrated awareness, experience, and competence in working with a diverse, multi-racial, multicultural, and socio-economic staff and client population.

Ability to coordinate daily activities including scheduling multiple projects with competing priorities, measuring quality assurance, monitoring of maintenance activities, and supervision of personnel.

Must be computer literate with proficiency in GSuite, Slack, Salesforce, and Microsoft Office Suite applications, including strong MS Word and Excel skills; comfort with project management and database software. Adept at project management platforms is a plus.

Highly organized and resourceful, excellent attention to detail, ability to prioritize and manage time well to accomplish all essential tasks and meet deadlines.

Due to our Marin Headlands location, reliable vehicle access is required.


While performing the duties of this job, the employee is frequently exposed to fumes or airborne particles, moving mechanical parts, and vibration. The employee is occasionally exposed to a variety of extreme conditions. The noise level in the work environment and job sites can be loud.


Frequently is required to talk and hear; stand; walk; use hands to handle or feel; reach with hands and arms.

Frequently required to climb (ladders, scaffolds, or other), balance, twist, work above shoulders, stoop, kneel, crouch, or crawl.

Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.

Must be able to assist with events, which includes lifting up to 50 lbs.

Occasionally lifts/carries/pushes/pulls objects that weigh >50 lbs.

Occasional evenings and weekends.

Requires 24-hour response availability seven days per week for emergency situations.
